We wrapped up October with Invoiless v2.8.0, and it's a big one: Bills, Invoiless MCP for your AI assistant, per-document exchange rates, and link previews that look great in any chat. Plus customer payment terms, percentage discounts, and a round of smaller improvements. Let's dig in!ย ๐Ÿš€

Bills ๐Ÿงพ

Back in v2.5 we added Vendors, so you could manage the businesses you buy from. Now you can track what you owe them.

Bills are the invoices your vendors send you. Record them in Invoiless to see what's due, record your payments, and keep your expenses up to date.

Bills page with vendors, amounts and statuses

Here's the flow:

  1. Go to the Bills page and click New bill.
  2. Pick a vendor. Invoiless uses the vendor's currency and sets the due date from their payment terms.
  3. Fill in the details and save. A new bill starts as a Draft.
  4. Click Open bill once you've checked it. If it isn't paid by its due date, it shows as overdue.
  5. Click Record payment when you've paid the vendor. When nothing is left to pay, the bill is marked Paid.
  • Each payment is also added to your expense transactions, so your books stay accurate.
  • Vendor sent money back? Record a refund, and it's taken out of your expenses.
  • Attach the vendor's PDF to the bill.
  • Team members can get an email when a bill is due, and Bills has its own permissions in roles and permissions.
  • Building an integration? Bills come with their own webhook events.

Invoiless MCP ๐Ÿค–

You can now connect Claude or ChatGPT to Invoiless and manage your invoicing by chat. MCP (Model Context Protocol) is a standard way to connect AI assistants to the apps you use.

Claude, ChatGPT and any MCP app connected to your Invoiless invoices, customers and payments

Ask who still owes you money, add a customer, draft an invoice in one sentence, or record a payment. You connect once with a single server URL, then manage everything from your assistant.

You stay in control: you pick the business and the access when you connect, the assistant works within your own permissions, and it can never delete anything. Invoices are always created as drafts, and your assistant asks you to confirm before sending anything to a customer.

We wrote a whole post about it: Introducing Invoiless MCP.

Per-Document Exchange Rates ๐Ÿ’ฑ

Billing in several currencies? Until now, your reports used one global conversion rate per currency. With v2.8, each document keeps its own exchange rate, taken on its own date, so your reports show what your foreign-currency money was really worth.

Exchange rate field on an invoice

  • Everywhere you need it: invoices, estimates, bills, payments, refunds and transactions each save their own rate.
  • Filled in for you: Invoiless uses the market rate for the document's date. Change it if your bank used a different rate.
  • Your totals don't change: documents stay in their own currency. The rate is only used to value them in your business currency.
  • Clearer tables and reports: lists show the converted amount, and report rows show the original amount and the rate used.

Realized FX Gain/Loss Report ๐Ÿ“ˆ

When a customer pays a foreign-currency invoice, the rate on the payment day is rarely the same as on the invoice date. The new Realized FX gain/loss report lists that difference for every payment and refund, with your total gain, total loss and net result.

๐Ÿ’ก The conversion rates in your settings are now deprecated. Older documents without their own rate still use them in reports.

Link Previews ๐Ÿ’ฌ

Lots of invoices get shared in a chat, not by email. Document links already had a preview image, but it was slow to generate. Apps like WhatsApp often gave up waiting, so a preview could show in one app and be missing in another.

We rebuilt link previews from the ground up. They're now much faster, so they show up reliably wherever you share them.

Paste a document link in WhatsApp, Messenger or any other app, and your customer sees a clean card with your logo, your brand colors, the document number, the amount and the dates.

Customer Payment Terms ๐Ÿ“…

Some customers pay in 15 days, others in 60. You can now add Payment terms (days) to a customer, and new invoices take their due date from it. Retainers and recurring invoices follow too.

Payment terms of 15 days on a customer set the due date of a new invoice to 15 days after the issue date

  • Enter 0 for due on receipt.
  • Leave it empty to use your business default (from "Settings โ†’ Business settings โ†’ Invoices โ†’ Due after").
  • You can still change the due date on any invoice.

Percentage Line Discounts ๐Ÿท๏ธ

Item discounts used to be a flat amount. Now you can also enter a percentage of the line, right from the item drawer.

Contrast Levels & Dark Mode Colors ๐ŸŒ—

Text too light on your screen? The theme menu now has a Contrast setting with four levels, from Soft to High. It also applies to document previews and the customer portal, so your customers can use it too.

We also improved dark mode for custom branding: your brand colors on documents, the customer portal and your white-labeled dashboard now adjust automatically in dark mode, so text and your pay button keep enough contrast.

๐Ÿ’ก Press Shift + A to switch contrast levels from anywhere in the dashboard.

More Improvements โœจ

This release also includes several smaller improvements:

  • ๐Ÿ–จ๏ธ Better PDFs: margins now apply on every page, including after a page break, and you can change them from the print dialog. Long documents break cleanly, multi-page PDFs keep your signature, and text is darker and easier to read.
  • ๐Ÿ‡ธ๐Ÿ‡ฎ Slovenian: you can now create documents in Slovenian. Previews and link previews follow the document's language.
  • ๐Ÿ”— Share the customer portal: you could already turn on a public portal for a customer. Now you can also send it: Invoiless emails them the link, so sharing it takes one click.
  • ๐Ÿ‘‹ First name variable: the new [customer_first_name] variable lets you greet customers by their first name, great for emails.
  • โž• Duplicate line items: copy an item in one click from the invoice builder.
  • โž– Negative tax rates: saved tax rates in your settings now accept negative values, for taxes like withholding.
  • ๐Ÿ‘๏ธ Hidden amounts indicator: an icon in the header shows when amounts are hidden with Shift + H, so your totals don't look broken. Click it to show them again.
  • ๐Ÿ’ณ More payment links: you can now add external payment links from Midtrans (popular in Indonesia) and HitPay (popular in Singapore and Southeast Asia).
  • ๐Ÿ”Œ Invoiless API: issue and cancel invoices with an API key.
  • ๐Ÿ› ๏ธ Plus a bunch of bug fixes and improvements across the dashboard.
